Management & accounting services
Prepared for the Board of Directors of . This outlines the services proposed and acts as an engagement agreement should the Association choose to partner with Royale.
At the beginning of our engagement, Royale Management Services will review all documents and records provided by your prior manager, the Board of Directors, officers, and the developer, and notify the board of any missing documents. We will also review the condition of the property and create a prioritized list of items that need attention.
Royale will perform all necessary services to transition the Association from its prior management company, including (but not limited to): requesting records, keys, and files from prior management; reviewing and verifying financial information obtained from prior management (this is not an audit); notifying owners of the change in management; notifying vendors of the management change; and updating registered agent information with the state.

Administration, Portal & Legal Support
Royale prepares a meeting package for all board members prior to board meetings, containing: a detailed agenda with meeting notes; properly formatted fill-in forms to record motions and votes; other agenda items; current financial reports (if requested); and the manager's notes to the board.
Royale will post notices of all board and other meetings as required by law, when requested at least 5 days in advance.
Royale provides the Association with a secure web portal where all financial statements and official records are available to board members and owners via username and password login. Documents are available for viewing and downloading 24/7.
The portal includes complete access to monthly financial statements and accounting information; all paid bills, invoices, and past-due assessment notices; printable forms such as Estoppel Requests and Owner Information Updates; clear communication tools; and transparency through real-time document visibility.
We work with your current legal counsel and follow the board's directives. If your association does not have an attorney, we can provide referrals through our partnerships with respected HOA & Condominium law firms in Florida.
Board-assist services & consulting include budgeting & long-term planning, meeting notices and planning, compliance matters, and election planning and administration. We provide full support for election processes from scheduling to certification, plus advisory services on legal, operational, and financial matters.
Other administrative services: Estoppel processing, Registered Agent, Tax Preparation, Year-End 1099 Vendor Filings, Payroll (optional), and Online Payment Center support.
